Job Purpose / Summary:

We are seeking a skilled and knowledgeable Specialist in Employee Relations and Payroll to join our organization. The Specialist will be responsible for managing employee relations and payroll processes, ensuring compliance with labor laws and regulations. This role will involve providing guidance and support to employees regarding HR policies and procedures, resolving employee relations issues, and ensuring accurate and timely payroll administration. The Specialist will collaborate with cross-functional teams, maintain confidentiality, and contribute to fostering a positive and productive work environment.

Key Responsibilities:

  • Ensure compliance with labor laws and regulations related to employee relations and payroll administration.
  • Serve as a point of contact for employees, providing guidance and support on HR policies, procedures, and employment-related matters.
  • Manage employee relations issues, including conducting investigations, resolving conflicts, and promoting a positive work environment.
  • Maintain accurate and confidential employee records, including personnel files, time and attendance records, and payroll information in accordance with privacy and data protection regulations.
  • Administer payroll processes, including timekeeping, payroll calculations, deductions, and ensuring accurate and timely payment to employees.
  • Collaborate with HR team members to develop and implement employee engagement initiatives, policies, and procedures.
  • Conduct regular audits and reviews of payroll data to ensure accuracy and compliance.
  • Stay updated on industry best practices, trends, and changes in labor laws related to employee relations and payroll administration.
  • Manage and maintain the HRMS (Human Resource Management System) for payroll, ensuring data integrity and system functionality.
  • Coordinate and communicate with relevant departments and stakeholders to ensure adherence to company policies, safety regulations, and quality standards during the offboarding process.
  • Provide guidance and support to employees throughout the offboarding process, addressing any questions or concerns related to HR policies, procedures, and employment matters.
  • Conduct thorough investigations and handle employee relations issues effectively, ensuring fair and equitable resolutions that promote a positive and inclusive work environment.
  • Assist in the development and delivery of HR training programs, specifically related to employee relations and payroll administration, to enhance the knowledge and skills of employees and managers.
  • Assist in the onboarding process by ensuring all necessary paperwork and documentation are completed and filed appropriately.
  • Provide support and guidance to new hires during the onboarding process, ensuring a smooth transition and integration into the organization.
  • Keep the log sheet updated for file retrieval and return during the offboarding process, ensuring accurate tracking and management of employee files.

Education:

Bachelor’s degree in Human Resources, Business Administration, or a related field.

Experience:

4 to 10 years of experience in employee relations and payroll administration.

Job Skills/Knowledge:

  • Solid understanding of labor laws, company bylaws, and regulations.
  • Strong knowledge of payroll processes, including timekeeping, deductions, and payroll calculations.
  • Excellent interpersonal and communication skills, with the ability to effectively address employee concerns and resolve conflicts.
  • Detail-oriented with strong analytical and problem-solving skills.
  • Ability to maintain confidentiality and handle sensitive employee information with professionalism.
  • Proficiency in HRMS and payroll systems.
  • Strong organizational skills, with the ability to manage multiple priorities and meet deadlines.
  • Continuous learning mindset and willingness to stay updated on industry trends and best practices.
